02 · Systems Integration

Are your business systems failing to work together?

Connect your systems so information flows on its own.

When orders, customers, stock and payments live in separate tools, your team becomes the integration, re-typing and reconciling by hand. We connect ERPs, CRMs, accounting software, payment platforms and other applications through APIs and automated workflows, reducing duplicate data entry and improving the flow of information.

What we do

  • ERP & CRM integration

Keep customers, quotes, orders and invoices consistent between your CRM and your ERP.

  • Accounting & invoicing links

Pass the right transaction data to accounting without manual re-entry.

  • E-commerce connections

Orders, products and stock levels exchanged between your online store and back office.

  • API development & integration

Design and build API-based connections, including authentication, data mapping and rate limits.

  • Workflow automation tools

Use tools such as Zapier where they are the sensible, maintainable choice, and custom code where they are not.

  • Monitoring & error handling

Retries, logging and alerts, so a failed sync is noticed and fixed instead of silently losing data.

Payment integration

Payments are where sales, invoicing and accounting meet, and where manual reconciliation costs the most time. We connect payment services to your business workflows so money received is recognised and matched, where the payment provider and your account support it.

  • Mobile money & cards

Connect M-Pesa, card payment gateways and bank or payment integrations, subject to what each provider makes available to your business.

  • Link payments to invoices and orders

A payment can mark the right invoice paid and trigger the next step, such as releasing an order.

  • Reconciliation

Match incoming payments to invoices, flag differences, and reduce end-of-month clean-up.

  • Reporting

See collected versus outstanding amounts alongside the rest of your management reports.

Payment providers each have their own onboarding, approval and testing processes. We design around them and are clear about what is and is not possible before you commit.

  1. Customer pays

M-Pesa, card or bank payment is received.

  2. Matched to the invoice

The payment is linked to the right order or invoice.

  3. Reconciled

Accounting records update and differences are flagged.

  4. Reported

Collected and outstanding amounts show in reports.

Illustrative workflow. Availability depends on the payment provider and your account.

Typical scenarios

Examples of the problems this service is designed to solve.

  • A new HubSpot or Salesforce deal creates the customer and sales order in the ERP.
  • Online orders create sales orders and reduce stock automatically.
  • Customer details stay consistent between the CRM and the accounting system.

Frequently asked questions

Do we have to replace our current software?

Usually not. Integration lets your existing tools keep doing what they do well while sharing data. We recommend replacement only when it genuinely makes sense.

Which platforms can you connect?

We work with Odoo, HubSpot, Salesforce, Zoho CRM, payment services and other business applications, as project requirements and our technical capabilities allow. We will tell you honestly if something is not a good fit.

Is real-time sync always necessary?

No. Some data, like stock on a web store, needs to move instantly. Other data is fine hourly or nightly. Choosing correctly keeps cost and complexity down.
